These Terms and Conditions govern access to, browsing of, and use of the website of OMEI ORGANIZERS OF MEETINGS & EVENTS INTERNATIONAL (hereinafter, “OMEI”), as well as, where applicable, the registration, enrollment, participation, or use of its services, memberships, events, educational programs, digital platforms, and other institutional initiatives.

1. Acceptance of the Terms and Conditions

Accessing, browsing, registering on, or using the OMEI website, as well as signing up for, enrolling in, or using any of its services, memberships, events, educational programs, or digital platforms, implies acceptance of these Terms and Conditions.

If the user does not agree to these Terms and Conditions, they must refrain from using the website, the services, or the corresponding platforms.

Certain services, events, programs, or activities may be subject to additional specific terms, policies, or conditions, which will be communicated to the user as applicable.

2. Purpose

OMEI is an organization dedicated to the development, professionalization, networking, education, representation, and innovation of professionals and organizations involved in the meetings, conferences, conventions, exhibitions, incentives, and events industry.

Through its platforms, programs, and activities, OMEI will be able to offer, among other things:

  • Memberships and affiliations.
  • Events, conferences, and professional gatherings.
  • Educational programs and OMEI Academy.
  • Courses, workshops, webinars, seminars, and certifications.
  • Mentoring Programs and OMEI Next Gen.
  • Job board and career networking tools.
  • Studies, rankings, research, publications, and specialized content.
  • Consulting and Professional Services.
  • Strategic partnerships, networking, and member benefits.
  • Directories and professional communities.
  • Activities and programs related to the development of the MICE industry.
The availability and features of each service may vary depending on OMEI's current programs.

3. User Registration and Account

When the nature of the event, activity, or registration category permits, OMEI may authorize the substitution of one participant with another person from the same company or organization.

The request must be made in writing before the start of the event and is subject to OMEI’s express authorization, as well as compliance with the requirements corresponding to the activity, registration category, membership, or participant profile.

Substitution may not be permitted when there are name-specific credentials, tickets, reservations, certifications, personalized services, or other arrangements that do not allow for changes in the registered participant.

4. Courses, Certifications, and Educational Programs – OMEI Academy

Cancellations for courses, workshops, webinars, certifications, and other educational programs offered by OMEI Academy will be subject, first and foremost, to the specific terms and conditions published for each program.

When no specific conditions exist, the general policy set forth in this document shall apply.

Once the program, course, workshop, or certification has begun, or once the participant has gained substantial access to digital content, academic materials, assessments, sessions, educational platforms, recordings, manuals, or other resources associated with the program, the payment will not be refundable.

If an OMEI Academy certification or program is delivered, endorsed, or supplemented by a third party, the policies and terms established by that provider may also apply.

5. Cancellation, rescheduling, or modification by OMEI

OMEI may modify—when there are justifiable reasons—the dates, times, venue, format, program, schedule, speakers, facilitators, activities, or any other operational aspect of an event, activity, or program.

When an activity is rescheduled, the participant’s registration will be automatically transferred to the new date, unless OMEI specifies otherwise.

If OMEI permanently cancels a paid activity and there is no alternative date, substitute format, or equivalent mechanism for providing the service, the participant may request a refund of the amounts actually paid directly to OMEI for registration in that activity.

Unless otherwise required by applicable law, OMEI shall not be liable for any additional or indirect expenses incurred by the participant with third parties, including flights, lodging, ground transportation, visas, insurance, meals, tourist services, or other travel or participation expenses.

Therefore, OMEI recommends reviewing the cancellation and modification policies of the providers contracted directly by each participant.

6. Professional Conduct and Appropriate Use

OMEI members, participants, and users must conduct themselves in a professional, ethical, and respectful manner, consistent with the values of the organization and the MICE industry.

The use of OMEI’s physical or digital spaces is not permitted for:

  • Engaging in activities that are illegal, fraudulent, or contrary to applicable law.
  • Harass, discriminate against, threaten, intimidate, or infringe upon the rights of other participants.
  • Impersonating others or providing deliberately false information.
  • Disseminating information that is false, misleading, or that could unjustifiably harm third parties.
  • Conducting mass marketing campaigns or unauthorized communications.
  • Extract, copy, compile, or use databases, directories, or member information for purposes other than those authorized.
  • Uploading viruses, malicious code, or any other element that could compromise the security of the platforms.
  • Attempting to gain unauthorized access to systems, accounts, or information.
  • Engaging in any activity that could affect OMEI's security, reputation, operations, or technological infrastructure.
OMEI may limit, suspend, or terminate a user’s or member’s access in the event of a breach of these Terms and Conditions or applicable specific policies, or when necessary to protect OMEI, its members, participants, or third parties.

7. Directory, Communities, and Networking

The information available in OMEI directories, communities, platforms, or networking tools must be used exclusively for legitimate professional purposes related to the community.

The bulk extraction of information, as well as its sale, transfer, reproduction, distribution, or use for unsolicited commercial campaigns, is prohibited without express authorization.

Access to other members’ information does not imply authorization to use it for purposes other than those for which it was provided or made available.

8. Intellectual Property

The name OMEI, its logos, trademarks, visual identity, publications, methodologies, programs, academic content, courses, videos, photographs, designs, materials, databases, documents, and other proprietary content are protected by applicable intellectual and industrial property laws.

Access to such content does not grant the user any ownership rights or authorization to reproduce, distribute, modify, adapt, commercialize, sublicense, or publicly use it, except with the express written authorization of OMEI or when permitted by applicable law.

Materials provided as part of courses, certifications, memberships, or programs may be used solely for personal or professional purposes directly related to the contracted service.

The unauthorized recording, reproduction, or distribution of sessions, courses, conferences, webinars, or academic content owned by OMEI is prohibited.

9. Content Provided by Users, Members, or Participants

When users, members, or participants voluntarily provide information, photographs, documents, articles, comments, professional profiles, or other materials for publication or use within OMEI’s platforms, directories, events, or initiatives, they declare that they have the necessary rights or authorizations to do so.

The user is responsible for ensuring that the materials provided do not infringe on the intellectual property rights, privacy rights, image rights, or other rights of third parties.

When OMEI needs to use such content for purposes other than those directly related to the corresponding service or activity, it will seek the authorizations required by law.

10. Third-Party Content, Links, and Services

OMEI’s website, platforms, or activities may contain information, links, content, products, promotions, services, or offers provided by sponsors, partners, members, or third parties.

11. Events, Courses, and Programs

OMEI reserves the right to make reasonable adjustments to programs, schedules, speakers, content, formats, venues, or formats when necessary for the proper conduct of its activities.

When a change is substantial, OMEI will endeavor to notify participants in a timely manner through the available contact channels.

Registration for events, courses, certifications, and other programs will also be subject to OMEI’s Cancellation and Refund Policy and, where applicable, to the specific terms and conditions published for each activity.

12. Photographs, videos, and recordings

OMEI events, activities, and programs may be photographed, videotaped, or documented for institutional, informational, academic, historical, and promotional purposes.

When legally required, OMEI will inform participants about such activities and obtain the necessary authorizations.

Requests related to the processing of personal data and images will be handled in accordance with OMEI’s Privacy Notice and applicable law.

13. Protection of Personal Data

Personal data provided by users, members, participants, vendors, partners, or any other person associated with OMEI’s activities will be processed in accordance with OMEI’s Privacy Notice and applicable Mexican laws regarding the protection of personal data.

14. Site Availability and Operation

OMEI will endeavor to keep its digital platforms and services available, up-to-date, and functioning properly.

However, it does not guarantee that the website or platforms will operate uninterrupted, continuously, or error-free.

OMEI may perform maintenance, updates, modifications, improvements, or temporary suspensions when necessary for technical, operational, security, or force majeure reasons.

The information published or provided by OMEI is intended for professional, educational, institutional, and informational purposes.

16. Cancellations and Refunds

Cancellations of memberships, registrations, events, courses, certifications, programs, and services will be subject to OMEI’s Cancellation and Refund Policy in effect at the time of enrollment and, where applicable, to the specific terms provided for each activity.

If there are specific conditions for an event, course, or service, these will be communicated to the user in advance.

17. Suspension or Cancellation of Accounts and Services

OMEI may suspend or cancel an account, membership, or access to certain services when:
  • There is a serious or repeated breach of these Terms and Conditions.
  • False or deliberately misleading information is provided.
  • If any activities are carried out that are illegal, fraudulent, or harmful to other members.
  • The content, directories, platforms, or intellectual property of OMEI are misused.
  • There are risks to technological security or to the community.
  • Applicable payment obligations are not met.

19. Applicable Law and Jurisdiction

These Terms and Conditions shall be governed by and construed in accordance with the applicable laws of the United Mexican States.

For any dispute related to the interpretation, performance, or application of these Terms and Conditions that cannot be resolved by mutual agreement, the parties shall submit to the competent authorities of Mexico City, unless an applicable legal provision establishes a different, mandatory jurisdiction.
