This Cancellation and Refund Policy sets forth the terms and conditions applicable to memberships, registrations, events, conferences, meetings, courses, workshops, webinars, certifications, educational programs, and other activities or services organized and marketed directly by OMEI ORGANIZERS OF MEETINGS & EVENTS INTERNATIONAL (hereinafter, “OMEI”).

Unless specific cancellation, substitution, or refund terms are published for a particular activity, service, or program, the provisions set forth in this Policy shall apply.

1. OMEI Memberships

OMEI membership, registration, renewal, or enrollment fees are non-refundable once payment has been made and confirmed.

Membership and its benefits will be valid for the term corresponding to the selected category and will be subject to the membership, eligibility, and participation conditions established by OMEI.

In exceptional cases, OMEI may consider requests to transfer or change the holder of a membership, provided that such requests are submitted in writing, before any substantial benefits associated with the membership have been used, and are consistent with the corresponding membership category.

Authorization of any transfer or change of membership holder will be subject to review and express approval by OMEI.

2. In-person events, conferences, and activities

All cancellation requests must be submitted in writing via email to contacto@omeiworld.com.

To determine the applicable refund percentage, the date on which OMEI formally receives the cancellation request and the scheduled start date of the event will be used as a reference.

Unless specific conditions are established for a particular event, the following conditions will apply:

  • 30 calendar days or more before the start of the event: A 100% refund of the amount actually paid, minus bank fees, payment platform fees, and any items previously identified as non-refundable.
  • Between 15 and 29 calendar days before the event begins: A refund of 50% of the amount actually paid, subject to applicable deductions for non-refundable services or items.
  • 14 calendar days or fewer before the start of the event: There will be no refund.
  • No-show: If a participant fails to attend without prior cancellation, he or she will not be entitled to a refund, credit, or compensation.
When OMEI has contracted or paid for services specifically for the participant that, due to their nature or the provider’s terms and conditions, are wholly or partially non-refundable—including lodging, transportation, food and beverages, tickets, credentials, materials, experiences, audiovisual services, activities, third-party services, or other similar items—such amounts may be deducted from the reimbursement that may be due.

3. Replacement of Participants

When the nature of the event, activity, or registration category permits, OMEI may authorize the substitution of a participant with another person from the same company or organization.

The request must be made in writing prior to the start of the event and is subject to OMEI’s express authorization, as well as compliance with the requirements corresponding to the activity, registration category, membership, or participant profile.

Substitution may not be permitted when there are name-specific credentials, tickets, reservations, certifications, personalized services, or other arrangements that do not allow for changes in the named participant.

4. Courses, Certifications, and Educational Programs – OMEI Academy

Cancellations of courses, workshops, webinars, certifications, and other educational programs offered by OMEI Academy will be subject, first and foremost, to the specific terms and conditions published for each program.

When no specific conditions exist, the general policy set forth in this document shall apply.

Once the program, course, workshop, or certification has begun, or once the participant has gained substantial access to digital content, academic materials, assessments, sessions, educational platforms, recordings, manuals, or other resources associated with the program, payment will not be refundable.

If an OMEI Academy certification or program is delivered, endorsed, or supplemented by a third party, the policies and terms established by that provider may also apply.

5. Cancellation, rescheduling, or modification by OMEI

OMEI may modify—when there are justifiable reasons—the dates, times, venue, format, program, schedule, speakers, facilitators, activities, or any other operational element of an event, activity, or program.

When an activity is rescheduled, the participant’s registration will be automatically transferred to the new date, unless OMEI specifies otherwise.

If OMEI permanently cancels a paid activity and there is no alternative date, substitute format, or equivalent mechanism for providing the service, the participant may request a refund of the amounts actually paid directly to OMEI for registration in that activity.

Unless otherwise provided by applicable law, OMEI shall not be liable for any additional or indirect expenses incurred by the participant with third parties, including flights, lodging, ground transportation, visas, insurance, meals, tourist services, or other travel or participation expenses.

Therefore, OMEI recommends reviewing the cancellation and modification policies of the providers contracted directly by each participant.

6. Force majeure or unforeseeable circumstances

In the event of circumstances beyond OMEI’s reasonable control that prevent, hinder, or render it impractical to carry out an activity under the originally planned conditions—including, but not limited to, natural disasters, weather events, health emergencies, epidemics, government regulations, conflicts, riots, security situations, severe transportation disruptions, widespread service interruptions, facility closures, or any other circumstance of force majeure or unforeseeable event—OMEI may reschedule, modify, change the venue, move the event online, or cancel the activity.

In such cases, OMEI will promptly inform participants of the available alternatives, which may include rescheduling, a change in format, a transfer of registration, credit toward a future event, or, where applicable, a refund, taking into account the specific circumstances of each event and any non-recoverable expenses previously committed to third parties.

7. Cancellation and Refund Request

All requests must be submitted in writing to:

The request must include, where applicable:

  • Participant's full name.
  • Company or organization.
  • Name of the event, program, or service purchased.
  • Number, page number, or registration receipt.
  • Proof of payment.
  • Reason for the request.
  • Additional information needed to identify the transaction.

Receipt of a cancellation or refund request does not imply automatic approval. OMEI will review each request in accordance with this Policy and, where applicable, the specific terms and conditions of the contracted activity or service.

8. Processing Refunds

Refunds that are warranted and have been authorized by OMEI will be issued, preferably, through the same payment method used to make the original payment. Once the refund is authorized, OMEI will process it within an administrative period of up to 15 business days. The date on which the funds appear in the participant’s account may vary depending on the bank, card issuer, payment platform, or relevant provider. When, for operational reasons, it is not possible to use the same payment method, OMEI may request banking information or additional documentation necessary to process the refund.Any charges, fees, or differences arising from financial institutions, payment platforms, currency conversions, or third-party services will be subject to each provider’s terms and conditions.

9. Promotions, complimentary items, and special codes

Registrations granted as a courtesy, through a scholarship, invitation, a promotional code offering a 100% discount, or any other mechanism that did not involve payment by the participant do not entitle the participant to a refund.

For promotions, special rates, presales, or packages, specific cancellation and refund conditions may apply; these will be disclosed at the time of purchase and will take precedence over this Policy when expressly indicated.

10. Third-Party Content, Links, and Services

By registering, signing up, enrolling, or making a payment for the services, activities, events, memberships, or programs offered by OMEI and OMEI Academy, the user acknowledges having read and accepted this Cancellation and Refund Policy, as well as, where applicable, the specific terms and conditions provided for the contracted service.

OMEI may update or modify this Policy as necessary. The applicable version will be the one in effect and published at the time of the corresponding contract, enrollment, or registration.
